Summary

The successful Contract Administrator is a motivated, team-oriented individual responsible for overseeing contract execution, implementation, reporting, and close-out processes. The Contract Administrator works closely with the Development, Finance, Program, and R & E teams to ensure compliance with memorandums of understandings and contracts

Responsibilities
  • Review MOU’s and participate in writing, preparation, and submission
  • Update current MOU’s and streamline to current agency standard
  • Organize and facilitate weekly contract Kick-Off meeting with cross-functional organization representation
  • Create Organizational templates for a variety of contracting and MOU needs
  • Lead contract execution, kick-off, modification, and close-out processes
  • Participate in contract monitoring, e.g. spend-down, with appropriate Finance, Program, and internal point persons for all grant- and contract-related questions
  • Maintain “Circle of Life” public and private grant and contract database and reporting tracking tools
  • Provide cross-functional contract expertise in contract and MOU execution, implementation, and administration
  • Lead and manage public and private grant and contract & MOU updates and reporting, collaborating and coordinating with Program, Finance, and Compliance Teams for accurate, on-time submissions
  • Participate in writing, preparation, and submission of public and private Letters of Intent and proposals, including drafting creative, engaging cases for support
  • Maintain accurate and complete grant and contract records in electronic and paper formats
  • Provide regular updates on MOU and contract activity and deadlines
  • Participate in regular review meetings as requested
Ideal Candidate
  • Bachelor’s degree with a minimum three years related experience in contract development, research, writing, and reporting.
  • Familiarity with non-profit MOU Components such as insurance/liability, data sharing, enrollment information, service roll-out, etc.
  • Experience managing contracts, including obtaining approvals, working with multiple internal and external constituents, and negotiating contract amendments
  • Exceptional organizational, analytical, critical-thinking, and prioritization skills
  • Excellent, proactive interpersonal communication skills
  • Performance-driven attitude, with high standards and a proven ability to achieve established goals and milestones
  • Proven ability to work independently with multiple deadlines in a fast-paced environment
  • Experience in private and corporate philanthropy.
  • Exceptional written and verbal communication.
  • Ability to codify ideas into coherently written text.
  • Knowledge of state, federal and city grant guidelines.
  • Ability to plan, prioritize and coordinate multiple projects.
  • MS Office and database management skills.
  • Excellent interpersonal, networking and follow-up skills.
