This position will provide executive-level support to SPANX’s CFO, COO and Head of Global Sales. Duties may be administrative and project-based and include scheduling travel, arranging meetings, handling of information requests, research, report preparation and event management. The position requires a high degree of professionalism, organization and communication.
- Promotes effective time management when handling executives schedule through meeting scheduling.
- Coordinates internal and external meetings and events including but not limited to team meetings, offsite meetings, customer and partner meetings.
- Books and prepares comprehensive travel arrangements as needed (flights, hotels, car rentals, reservations)
- Schedules customer visits to HQ as well as field team visits and meetings at HQ and in the field.
- Stays knowledgeable of Company’s top clients, and good rapport with Spanx employees.
- Assists with Management Committee meetings, scheduling, handling logistics of meetings, preparing agenda, sending materials for review prior to the meetings; act as facilitator for discussions during meeting when called upon, prepares meeting notes and maintains action items list with follow up to ensure completion.
- Attends Business meetings and provides follow-up information to senior management as required.
- Administrative support including editing, composing and finalizing both internal and external memos and correspondence; Including Power Point and special projects.
- Supports Executive with management of budget for their teams via excel.
- Exudes a positive attitude and a team player mentality daily.
- Expert skills in calendaring through Microsoft Outlook.
- Proficiency with MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Skill in gathering and reporting information and preparing presentations.
- Willingness and ability to work effectively with members at all levels within the company.
- Ability to exercise initiative, confidentiality, problem-solving, and decision-making.
- Strong work ethic in doing what is takes to get the work done.
- Excellent organizational and time management skills.
- Excellent Communication, both oral and writing skills.
- Minimal 3 years of previous experience as an EA for an executive in a corporate atmosphere.
