Summary
The Executive Assistant is responsible for assisting the McGuire Executive, Sales, Marketing, Product Development, Customer Service and Human Resources organization with a wide variety of coordinating activities, communication, and special projects. This position will assume, with a minimum of supervision, a great share of the administrative, organizational, and communicative functions to enable key members of the leadership team to concentrate on the prime responsibilities of management of their functional organizations. This position requires a skilled and savvy communicator who is able to manage through a wide range of priorities, and to handle highly sensitive matters with professionalism and discretion.
Responsibilities
* Provide administrative support to the General Manager - McGuire. Duties include but are not limited to: maintain correspondence, schedule and coordinate travel arrangements, proactively schedule meetings and manage calendars, track and file expense reports in a timely manner. * Handle and route any incoming calls and transfer to appropriate personnel when available. * Provide meeting support. Coordinate and schedule meetings when required. Ensure Executive deliverables and deadlines are scheduled and accommodated. Plan and host meetings for the executive team, graciously coordinate meals and other necessary items for meetings. * Maintain the corporate calendar, updating key occurrences for the company and functional areas. * Preparation and routing of ACTs, Maximizing Performance forms and other confidential documents. * Coordinate communications for the organization in key areas – preparation of presentations and other collateral for meetings, setting business meetings agendas, sending memos. * Facilitate on site Humber Hundie and McClary candidate evaluations * Oversee monthly and quarterly sales contests, including analyzing and announcing results, as well as fulfilling contest incentives * Assist the President with company engagement initiatives, such as driving recognition, identifying areas for improvement, and provide a positive first impression, acting as a steward of the McGuire brand. * Manage the front desk and main phone line of the business – welcoming business guests and visitors, accepting, making, and screening phone calls, take and relay messages, provide information to callers, respond to routine queries, receive and sort mail and deliveries * Management of day-to-day office operations: ;iaison with building management on issues related to the SFDC, maintain stock levels for basic office and kitchen supplies, manage janitorial staff. * Ensure operation of equipment by completing preventative maintenance requirements – following manufacturer’s instructions, troubleshooting malfunctions, calling for repairs, maintaining equipment inventories. * Assist HR with onboarding documents for new hire – provide paperwork, keys, and general information for new team members and assist existing team as liaison with HR as needed. * Assist marketing and customer service with mailings and other projects. * Troubleshoot IT, Communication, general office functionality with Kohler * Assist with additional special projects as needed.
Ideal Candidate
* The successful candidate for this role will have 5+ years of experience in an executive administrator role. * A Bachelor’s degree is preferred, with focus in Business Administration or related discipline. * Individual must be self-motivated and capable of working independently, with strong abilities to multi-task and prioritize. * Must have strong communication skills, including proven skills in designing presentations. * This role requires high proficiency with Microsoft Office365, including Outlook, Word, Publisher, Excel and PowerPoint. * Experience creating and updating websites highly preferable. * The successful candidate for this role will be someone who is assertive, highly motivated, flexible, and enjoys having a high volume of workload with wide variety. * The right person for this position will be discreet, polished, and place a high value on positive customer service interactions.
