Summary

As a Licensed Brokerage Administrative Assistant, Client Services your role will be to support our local office personnel and brokers of the Company. This will involve multiple assignments, often handling details of a confidential nature. Responsible for prioritizing projects to meet multiple deadlines in a fast-paced, team oriented environment.

  • Have advanced knowledge and ability to complete word processing tasks (correspondence, reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)
  • Filing
  • Type reports, proposals, spreadsheets, mass mailings and all daily correspondence
  • Meeting, event, conference call coordination as needed
  • Maintain and update assigned agents’ client/prospect database
  • Maintain accurate broker work in progress via Dealio database
  • Coordinate broker tour schedules
  • Ability to complete lease abstracts
  • Understanding of BOVs;
  • Perform financial analysis for transactions
  • Assemble control books for completed transactions
  • Preparation of client invoices
  • Working knowledge of mapping software;
  • Good understanding of local market;
  • Obtain floor plans per broker direction
  • Participate in regular administrative assistant meetings and division meetings.
  • Perform other related duties as assigned.
  • Assist with general office duties as needed
  • Production of proposals, broker letters, mass mailings, marketing plans
  • Coordinate travel arrangements and process expense reports
  • Expense report preparation, submission, reconciliation and tracking
  • Identify problems and implement problem-solving resolutions with limited supervision
  • Possess analytical ability in order to gather and summarize data for reports
Ideal Candidate
  • Three or more years in commercial real estate research or closely related field
  • Command of local markets and business, with good understanding of macro trends and historical perspective
  • High level analytical skills and problem solving ability and written and oral communication skills
  • Real Estate License Preferred
  • Polished presentation skills and ability to credibly establish profile in the marketplace with clients and media
  • Ability to effectively and professionally meet client expectations and positively represent the firm
  • Ability to multi-task, succeed under pressure and effectively manage time and workload
  • Proactive and strategic thinking and ability to lead research initiatives, align research with the business and innovate research output
  • Direct client presentation and project management experience
  • Command of requisite technology including Excel, PowerPoint, and Word and database systems
  • Bachelor’s or Master’s degree in business, economics or related field required
  • Motivated and self-starting with a desire to succeed and contribute to the success of a team
  • A desire to work within a diverse, collaborative, and driven professional environment
