Provides administrative assistance to the Sr EVP of Asset Management and CFO Location: Corporate Headquarter in Palo Alto through mid-December 2015. Thereafter, located in San Mateo.
- Performs organizational and administrative duties
- Manages multiple calendars and contact information, using Outlook
- Coordinates travel, including transportation and hotel arrangements, and itinerary planning
- Prepares expense reports
- Creates and organizes correspondence files
- Coordinates and schedules meetings and conference calls, including arrangement of logistics, meeting space and catering as needed
- Handles high level administrative activities and confidential materials
- Compose memos, letters and other correspondence
- Takes detailed meeting minutes
- Fields and manages incoming calls and inquiries in a professional manner
- Responsible for Copying, collating, or faxing documents, and ordering supplies
- Assists with PowerPoint presentations
- Updates departmental information
- Prepare and distribute presentations/documents for the Board, Audit committee meetings, investor and other internal meetings
- Other tasks as assigned
Qualifications
- Education: High school diploma required, Bachelor degree preferred
- Ability to read and write English; speak English and understand spoken English required
- Computer proficiency in Microsoft Word, Excel and PowerPoint required
- A minimum of 7 years of administrative support and/or executive assistant experience required. Work experience in real estate industry, property management field/or in a service related field preferred.
- Valid driver’s license and current automobile insurance is required.
