The primary responsibility of this position is to support our HR/Admin Team with administrative and HR duties. The HR Admin Assistant will showcase excellent customer service and will serve as a primary point of contact for DrFirst new hires, guests, vendors, and interviews. The individual in this position will ensure that office events, as well as day-to-day office activities, run smoothly and will support the HR function through administrative tasks.
Administrative:
- Greet guests and ensure security processes are followed

Office / Kitchen supply needs
- Keep weekly checklist of kitchen supplies
- Order supplies in a timely fashion
- Receive and put away all supply orders
- Keep / reconcile receipts for all supplies and purchases
- Maintain cleanliness and organization of all suites

Conference Room Schedules and cleanup
- Post conference room schedules daily
- Maintain cleanliness and professionalism of all conference rooms
- Process monthly expense reports for supplies and purchases
- Cubical setup (new hire, moving and termination)

General office activity planning :
- Quarterly organizational meeting as well as Business Unit and Client/ Vendor Visits
- Office functions such as luncheons, birthdays, picnics, Investor meetings, etc.
- Other office activity planning as assigned

Copier Maintenance
- First point of contact when maintenance is required
- Ensure supplies are kept on hand at all times
- Meet / greet vendor

Answer incoming calls in a professional manner
- Transfer calls accordingly
- Assist caller when possible

Shipping / Receiving
- Daily mail management / distribution. Assist with shipments via FedEx, UPS, Falcon and USPS
- Log in all daily packages and notify employees of deliveries.
- Escort deliveries to Suite 230 when appropriate
Human Resources:
- Maintain confidential personnel files for both active and terminated employees
- Maintain document retention initiatives on a quarterly basis
- Proficiency in MS Office suites emphasis on Word, Outlook, and Excel
- Ability to handle and maintain confidentiality
- Sense of urgency and ability to prioritize appropriately
- Excellent communication skills and customer service skills
- Excellent problem solving skills
- College degree preferred
- HR background or office management experience preferred
- Must have own reliable transportation
