Summary

Maintain integrity of building and suite areas in Yardi rent roll as well as major lease provisions via abstractions of lease documents.

Responsibilities
  • Track all leases, including follow up on GSA and other government leases by way of leasing activity log.
  • Ensure all commercial leases are complete including correct ownership and signature block, deal approval sheet, and adherence to delegated approval guidelines.
  • Execute and verify all leases.
  • Reconfirm all rent calculations, all commission calculations, tenant improvements, and other allowances.
  • Rent commencement letter needs to be issued and annualized net present value calculation as required, and signed – maintain Tickler system and retrieve outstanding letters as required
  • Ensure security deposits are received and amount adheres to lease when leases are executed. If not, follow up with leasing director or property manager for clarification and/or correction.
  • Upload all leases into Yardi and Asset Portal.
  • Approve, Review or Amend Abstracts of all leases.
  • Set up job codes for capitalized costs. (TI, commissions and other lease costs)
  • Identify and link pre-lease improvements with incoming leases.
  • Ensure that tenant delivery letter is executed on the date the premise is delivered and uploaded to Asset Portal.
  • Work with Accounting on Lease Commencement and Possession Date documentation and tracking
  • Provide ancillary analytical support to broader Operations and Analysis team as warranted during major processes such as Budget and Forecast
  • Perform Credit Evaluations in conjunction with potential new tenancies
  • Gather move-out information from property management team and load dates into Yardi
  • Process lease commissions for payment when authorized. Audit commission calculations as warranted
  • Make updates in Yardi for tenant holdover or early termination
Ideal Candidate
  • Bachelor’s Degree
  • Notary License – preferred but not required
  • REIT knowledge/experience - preferred but not required
  • Proficiency in Microsoft Office including Word, Excel, and Adobe
  • Proficiency in Yardi or similar software program
  • Proficiency in Nexus Payables
  • Proficiency in Salesforce or similar software program
  • Proficiency in Document Management Systems software (e.g., Sharepoint)
