Summary

To coordinate the day-to-day delivery of property and facility services to tenants and Bank employees, support the Property Management Team as required while demonstrating a superior customer service mindset, excellent administrative and coordination skills and adherence to US Bank policies.

Shift: First Shift, Monday-Friday, 8:00am - 5:00pm

Benefits: Eligible for health and retirement benefits on first day of employment

Responsibilities

Tenant/Facility Service

  • Open the office at 8:00am (close at 5pm), greet guests and visitors, determine nature of business, and direct individuals to appropriate location or team member.
  • Answer and manage office calls and emails, effectively addressing concerns in a professional and courteous manner.
  • Maintain the highest standards of professionalism with clients, tenants, and co-workers.
  • Assist in developing, producing and distributing building communications.
  • As primary day-to-day tenant/facility contact, respond to all tenant and facility service requests by entering and assigning work using Angus—the work order management system.
  • Manage work order process for tenants/facility contacts, actively monitor team progress, follow up, completion and close.
  • Become Angus expert serving as team trainer and liaison with Corporate Angus contacts; learn how to best harness performance data from Angus to improve service delivery.
  • Work directly with cleaning, engineering and security supervisors to ensure staff responds quickly to tenant requests.
  • Manage conference room/center, Galleria, Locker Room, Yoga Room access and bookings and serves as primary liaison with housekeeping for all event management.
  • Identify and initiate process improvements for current property systems.
  • Gain general understanding of overall property management and US Bank procedures.
  • Administer certificate of insurance (COI) program to ensure that tenant and contractor certificates of insurance are current and correct.
  • Assist with tenant move-in/move-out procedures.
  • Prepare materials for bi-weekly staff meetings.
  • Update, manage and distribute all building contact lists.
  • Create, maintain and update all files—contract, lease, vendor, general and project
  • Manage mail for management office
  • Monitor after-hours activity log and coordinate information flow between security, engineering, managers and tenant
  • Assist in coordination of special events including tenant, lobby, staff, and holiday

Financial

  • Accounts Payable
  • Process accounts payable invoices for the portfolio in a timely manner, consistent with Bank requirements
  • Review invoices for accuracy, prepare for approvals and enter into AP system for payment
  • Tenant Rent Statements
  • Manage all reporting/tracking for tenant bill backs
  • Track utility usage and manages process
  • Prepare, review, send and file tenant rent statements
  • Assist in budgeting process including preparation of budget binder components
Ideal Candidate
  • Two or more years of professional experience in customer service/relations including administrative responsibilities
  • Bachelor’s Degree or higher Required
  • Excellent communication skills both oral and written
  • Accountable self-starter who takes ownership for work
  • Desire to work in a customer-facing role
  • Ability to work with all levels of tenant and bank contacts
  • Ability and interest to work in a team-oriented, fast-paced environment
  • Ability to maintain calm demeanor in emergency situations
  • Interest in the real estate industry a plus
  • Valid drivers license required
  • Ability to operate a personal computer and other office equipment.
  • Ability to meet highest attendance requirements and punctuality requirements.
  • Ability to arrange event materials and/or decorations, set up tables/flowers/food for special events.
